Other Information About the Digital Conference:

  • Our generic agenda: 
    • - 10:00am-10:45am Welcome Session
      - 11:00am-12:30pm Breakout sessions (3)
      - 12:30pm-1:30pm Lunch – Panel session begins at 1:00pm
      - 1:30pm-3:00pm Breakout sessions (3)
  • Breakout Sessions
    • At registration time, the session information (including information on each guest speaker) will be available.
    • Hosting sites can choose to host only one track – or two – or all three.
    • Sites who host more than one track will need to prepare separate rooms for each.
    • Each room will need an HDMI-capable television and a computer, connected with an HDMI cable.
    • A computer with an LCD projector & computer speakers would also work.
  • Spanish Track:
    • Of the 3 breakout sessions, 2 will be in English, 1 in Spanish
    • During plenary sessions (welcome and panel session), Spanish-only participants will hear a translation rather than the speaker.
    • Spanish-only participants can have 30 minutes for lunch in main room before returning to classroom for panel presentation.
  • On-Site Responsibilities
    • Greet participants: Ask them to them sign in & distribute agendas
    • Each classroom must have a designated “technology rep”
    • Tech reps are responsible for setting up equipment and signing into each webinar session.
    • Tech reps distribute handouts and collect evaluation forms.
    • Tech reps complete a Session Summary form for each webinar session.
    • Session Summary forms include a head-count for each session.
  • Lunch Options
    • Sites can provide lunch to participants – or – 
    • Sites can market the event as “bring your own bag lunch”
    • If sites want to provide a pay-per-person lunch option, they will be completely responsible for the administration of it.
    • We do not recommend giving the option of “lunch on your own,” as the time is short – and participants may not return.
    • Lunch can be held in main “plenary” room.  Spanish-only participants would need to move to the Spanish Session room to hear translation.
  • Timeline
    • Save the Date announcement:  May 20, 2015
    • Early Registration for “Interested” Participants:  August 1, 2015
    • Host Site registration opens:  August 8, 2015
    •  Immediately upon registration:
      • Host Sites & Tech Reps receive confirmation. 
    • Within 7 days after registration:
      • Host Site’s online participant registration page available.
      • Host Sites listed on main Digital Conference web page.
      • Host Sites receive customized digital flyer for marketing. 
      • Host Sites receive link to 24/7 online registration report for their Site.
    • By September 9 (10 days before event):
      • Host Sites receive agendas and sign-in sheets.
      • Tech Reps receive handouts, room signs, and Session Summary forms.
      • Tech Reps receive log-in link and information for practice webinar session:.
    • September 14 (5 days before event).
      • Practice webinar session
      • Tech Reps receive log-in link and information for each webinar session.

      • Digital Conference Event
  • Cost to register as a Host Site:  $0.00.  Absolutely free.
  • There are a limited number of “Hosting Site Seats” available.
  • The Hosting Site registration process will be first come / first served.
  • Those who fill out the “Interested in Hosting” form will get an early registration option.
